Verification of HOA documents. We provide assistance to the builder, developer, and/or association in verifying accurate completion and proper filing of HOA documents of incorporation, bylaws, rules and regulations, recordings, insurance policies, etc. to ensure proper legal standing. This is essential to ensure the protection of corporate status and proper insurance. If not, liability can flow through to the individual homeowners. We have seen it happen where associations thought their HOA had been set up properly, only to find that it was not done.
Maintenance of HOA corporate books. We provide assistance to association boards of directors in maintaining accurate and current HOA books (required by law) including corporate, financial, and directors' books. We are experts in setting up and maintaining these important records.
Set up, host, and maintain HOA websites. An HOA website is essential for providing fast and accurate flow of information to homeowners. Our service includes the expertise to design, set up, host, and maintain each HOA website (under the direction of the association's board of directors) for the purpose of providing neighborhood information, emergency contacts, links to other websites (such as applicable city ordinances) and important documents (Rules & Regulations), regularly distributing HOA information such as neighborhood newsletters, events, board meeting minutes, etc., and in providing easy and secure online payment of dues.
Negotiate service contracts. The collective bargaining power of an HOA is very real. We provide expertise in negotiating great rates for services such as cable, internet, landscaping, snow removal, pest control, insurance, etc.
Collect HOA dues. Our service includes collection of all HOA dues, fees and special assessments for deposit into the association's account(s), with monthly statements for income and cash flow, and delinquent dues reports provided to the board of directors.
Disburse HOA payments. We make timely disbursement of HOA-authorized expenses from the association's operating account(s). We provide a monthly statement to the board of directors detailing all disbursements with copies of invoices paid.
Prepare financial statements for taxes. We will prepare the necessary year-end documents for HOA taxes.
Regularly visit the community. Consistency and follow-through are essential to good management. Our staff member assigned to each community will know the community's needs, rules and regulations, and will be there regularly to address problems and provide assistance.
Assist/Advise Association Board of Directors on HOA matters. Our expertise goes beyond the business accounts and legal documents of an HOA. We will provide advice to the board of directors on the day-to-day management of an HOA, including matters such as reserves account management, rules enforcement, landscaping/maintenance/snow removal contracts, liability insurance, etc., and assist in the carrying out of these functions as needed.
City/Community Liaison. We believe in taking an active part in helping associations to be knowledgeable of their city's applicable zoning ordinances, to assist associations with homeowner awareness and compliance, and (as directed by the association's board) to coordinate with the city for enforcement of violations. We take the time to review applicable zoning laws, along with the community's rules and regulations, and then summarize them into an easy-to-understand, short reference list. We include this list on the HOA's website as well as in the "welcome" packets we prepare for new homeowners. (Our "welcome" packets also include the association's full set of Rules & Regulations, as well as useful items such as area maps (if available), important city and association emergency phone numbers, coupons from surrounding businesses (when available), etc. to help new neighbors become acclimated to the town and community.)
Attend/Conduct Monthly/Annual Meetings. Directors' meetings are essential to not only the management of an association, but also to the flow of information between the directors and the homeowners. Yet many new directors are unfamiliar with the requirements of conducting HOA meetings. We provide this expertise by attending the meetings, advising the board, and even preparing the written meeting minutes. Published minutes are vitally important to homeowners (and are required by law). Likewise, at an association's annual meeting, if voting of new directors is to occur, there are rules to be followed in ensuring voter/director eligibility. We provide this service in accordance with each association's written bylaws, which we review and carefully follow.
